We’re seeking a strategic, solution-oriented administrative assistant to join our team! If you thrive in a dynamic environment and enjoy supporting visionary leaders, this role could be perfect for you.

 

In this position, you’ll work closely with our CEO, managing his calendar, emails, and tasks to help him stay organized and focused on his ambitious goals. You’ll also support our COO, providing essential administrative assistance to streamline processes and contribute to our company’s growth.

Our clientele is growing, and we have a need for a creative, energetic, efficient and highly adaptable Account strategist to join our eclectic team of do-gooders. 

We need you to

  • Schedule Management: Manage and maintain executives’ schedules, coordinating meetings, appointments, and travel arrangements.
  • Email & Correspondence: Oversee executives’ emails, prioritize urgent matters, and ensure timely responses.
  • Event Coordination: Organize logistics for events, workshops, and other activities, including booking venues, arranging catering, and setting up equipment.
  • General Administrative Support: Handle office duties, manage special projects, and support the onboarding of new employees by preparing welcome packages, organizing orientations, and setting up workspaces.
  • Primary Contact Point: Act as the main contact for internal and external inquiries, providing information and assistance.
  • Document Preparation: Assist in preparing and distributing documents, presentations, and reports for meetings.
  • Office Supplies & Vendor Management: Monitor and maintain office supplies, replenish stock as needed, and liaise with vendors for procurement.
  • Process Improvement: Identify opportunities to enhance workflow and implement efficiency-boosting measures.
  • Research Support: Conduct research and gather information to assist executive decision-making.
  • Confidentiality: Maintain discretion in handling sensitive and confidential materials.

We need your

  • Proven experience as an administrative assistant, ideally within a marketing agency or related industry.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Exceptional attention to detail and commitment to high-quality work.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Experience with calendar management, email correspondence, and document preparation.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software.

  • Fluency in both French and English.
